Card Membership Terms & Conditions

Article 1 (Toyoko Inn Club Card)

1.

The Toyoko Inn Club Card is a service program for customers provided by Toyoko Inn Co., Ltd. (hereinafter referred to as “we”, “our” or “us”).

Each customer who joins the Toyoko Inn Club Card (hereinafter referred to as “Member”) shall comply with these Terms and various rules (hereinafter referred to as the “Rules”) published on the Toyoko Inn official website (hereinafter referred to as the “Official Website”).

2.

These Terms and the Rules are subject to change. At all times, the latest version of these Terms and Rules, and any announcement made on the Official Website shall apply to the Toyoko Inn Club Card.

Article 2 (Overview of Toyoko Inn Club Card)

1.

Upon use of Hotel Toyoko Inn (hereinafter referred to as the “Hotel”), each Member can receive membership benefits, such as a discount on accommodation fees and use of granted points, by presenting the Toyoko Inn Club Card membership card (hereinafter referred to as the “Membership Card”).

Please note that the membership benefits are subject to change without notice. The latest information on membership benefits will be posted on the Official Website.

2.

The Toyoko Inn Club Card secretariat (hereinafter referred to as the “Secretariat”) refers to the secretariat that operates the membership program of Toyoko Inn Club Card.

3.

We may have our group companies or a third party operate the Secretariat.

Article 3 (Application for Membership)

1.

Each customer who desires to join the Toyoko Inn Club Card shall agree to these Terms and the Rules and then apply for membership by filling in the necessary information (hereinafter referred to as the “Registered Information”) on the web membership application form at a reception desk of the Hotel or on the pre-registration form available on the Official Website in advance.

Please note that the only address that can be registered for the Toyoko Inn Club Card is the Member’s residential address in the country where the Member currently resides.

Article 4 (Membership Card)

1.

To receive membership benefits, a Member needs to receive a Membership Card issued by us. A customer acquires the status of a Member upon receipt of the Membership Card.

2.

The membership card will be issued upon verification of identity at the reception desk.

3.

Each Member shall use and manage the Membership Card with the due care of a prudent manager. The Membership Card shall not be loaned or transferred to any other person. If the Membership Card is used in an unauthorized manner due to a violation of the foregoing by a Member, the Member shall be fully liable for the unauthorized use.

4.

Each Member shall notify the Secretariat promptly of any loss, theft, destruction, etc. in respect of the Membership Card. Even if the Membership Card cannot be used, a digital Membership Card can still be used.

5.

Digital Membership Card refers to the membership card (QR code) displayed on the My Page screen after logging in to the Toyoko Inn app or the Official Website. Instructions can be found on the Official Website. (Please note that any communications fees incurred in installing the app and presenting the digital Membership Card shall be borne by the customer.)

Article 5 (Admission Fee and Annual Membership Fee)

1.

To join the Toyoko Inn Club Card, the following admission fee shall be paid: 1,500 JPY (15,000 KRW (Korea), 500 PHP (Philippines), or 25,000 MNT (Mongolia)) for General Status or 1,000 JPY (10,000 KRW (Korea), 300 PHP (Philippines), or 17,000 MNT (Mongolia)) for Student Status. There is no annual membership fee.

2.

The admission fee shall be paid at the reception desk of the Hotel upon issuance of a Membership Card.

3.

Once the admission fee has been paid, it will not be refunded for any reason.

Article 6 (Membership Eligibility)

1.

Only an individual customer who is a junior high school student or older can become a Member. No legal entity or association can join the Toyoko Inn Club Card.

2.

For issuance of a Membership Card, we use an official photo ID that can verify the identity of the applicant to confirm that the applicant is eligible for membership.

For a student who does not have any official ID, we will confirm their eligibility using a student ID card with a photo (a copy thereof is not acceptable). For a junior or senior high school student, a student ID card without a photo is acceptable.

Article 7 (Cancellation of Membership Registration)

1.

A customer who falls under any of the following items cannot become a Member. In addition, if it is found that a Member falls under any of the following items after joining the Toyoko Inn Club Card, we may cancel their membership registration with no notice, demand, etc., and we may refuse to accept an application for re-joining the Toyoko Inn Club Card made by the Member in the future:

(1)

Registered Information is false; or a Member intentionally fails to update Registered Information even if there is actually a change in such information;

(2)

Upon joining the Toyoko Inn Club Card, registering a record of staying with us or using membership benefits, a Member submits false information or makes a false notification;

(3)

A Member has any problem with the Hotel, such as a delay in payment;

(4)

A Member fails to comply with the accommodation terms and conditions and the rules for use of the Hotel;

(5)

A Member is a member of an organized crime group, a constituent member of an organized crime group, a quasi-member of an organized crime group, a racketeer, a group engaging in criminal activities under the pretext of conducting social campaigns, an extortionist advocating a political activity, a crime group specialized in intellectual crimes, etc., (collectively, hereinafter referred to as “Anti-Social Forces”), or a Member has a close relationship with Anti-Social Forces;

A Member assaults, injures, coerces, intimidates, extorts something from, scams or commits any similar act toward someone else;

(7)

A Member commits any act not permitted by these Terms or the Rules; or

(8)

A Member commits any act that we deem harms the relationship of trust between the Member and us, or otherwise a Member commits any act that we deem inappropriate for a Member.

2.

We are entitled to cancel the membership registration of a Member who has no record of staying with us or has earned no points for 36 consecutive months.

Article 8 (Prohibition of Double Registration)

1.

Membership registration is limited to one registration per person. Even in the case where it is found that a Member has multiple membership numbers, points will not be aggregated and Membership Cards will not be merged.

Article 9 (Withdrawal)

1.

If a Member desires to withdraw from the Toyoko Inn Club Card, the Member themselves needs to notify the Secretariat of such withdrawal and proceed with the withdrawal procedures. When a Member passes away, a family member or relative may proceed with the withdrawal procedures on behalf of the Member.

2.

After completion of the withdrawal procedures, all Registered Information will be deleted.

Article 10 (Notification of Changes in Registered Information)

1.

A Member shall notify us of any change in the Registered Information without delay. A Member may update the Registered Information on the My Page screen after logging in to the Official Website.

2.

We shall not be liable for a Member’s failure to receive membership benefits due to the Member’s failure to notify us as set forth in the preceding paragraph.

Article 11 (Provision of Membership Benefits)

1.

When a Member applies for any of the membership benefits in accordance with the procedures set forth in these Terms or the Rules, we will provide the membership benefits specified in Article 15.

2.

Membership benefits will be provided to a Member upon an application by the Member themselves. Only the Member themselves may use the membership benefits.

3.

When a Member receive any membership benefits, the Member needs to present their Membership Card. If the Member does not present their Membership Card, the Member may not receive the membership benefits.

Article12 (Grant of Points)

1.

One point will be granted to a Member for each night the Member stays at the Hotel after membership registration.

However, the maximum number of points granted for each night of stay in one room shall be one. If two or more Members stay in one room, such as a twin room or a double room, a point will be granted only to one of the Members.

2.

To earn a point, a Member needs to present their Toyoko Inn Club Card upon staying at the Hotel. If the Member fails to present the card, a point will not be granted to the Member later.

3.

A point will be granted on the day immediately after the day the Member stays at the Hotel.

4.

A point will be granted only if a Member made an accommodation reservation through the Official Website or directly with the Hotel where the Member is staying. A point will not be granted if a Member made an accommodation reservation through any website other than the Official Website or through a travel agency.

5.

A point will not be granted for any free stay (such as a stay using a Free Voucher).

6.

If a Member is 60 years old or older, one point will be granted to the Member as an admission point upon joining the Toyoko Inn Club Card. However, this applies only in the case where the Member presents an official ID that can be used to verify the Member’s age (a copy thereof is not acceptable) upon issuance of a Membership Card.

7.

Some plans and Hotels are not eligible for points. Plans and Hotels that are not eligible for points are listed on the Official Website.

Article13 (Management of Points)

1.

A Member can check the number of points they have earned as it is displayed after the Member logs in to the Official Website.

2.

We will manage the points for each Member’s membership number and use the points to provide membership benefits, etc.

3.

If some points fail to be added, we will correct the record of points when the relevant Member makes a request for such correction to the Hotel where the Member stayed or the Secretariat within six months from the date of the stay and we consider that such correction should be made for the record omission based on the request.

4.

We may correct the number of erroneously added points at any time.

Article 14 (Expiration of Points)

1.

There is no expiration date for the points.

2.

If the membership registration is cancelled or a Member withdraws from the Toyoko Inn Club Card, all points remaining at that time will expire.

Article 15 (Membership Benefits)

1.

Each Member may receive membership benefits using the points granted under Article 12. The terms and conditions for use of the points and the services a Member can receive using the points are as follows.

(1)

A Member can use the points only when the Member has the number of points required to use the relevant service upon an application for use of the points.

(2)

The number of points will decrease upon an application for use of the points. Even if a Member does not use the service, we will not return the points.

(3)

A Member can redeem 10 points for one free voucher to stay in a single room (hereinafter referred to as the “Free Voucher”), or one voucher to play a single round of golf at New St. Andrews Golf Club Japan (lunch is included) (hereinafter referred to as the “Play Ticket”). Please note that a Member needs to pay the golf usage tax (usually 600 yen) imposed when using the Play Ticket.

(4)

The Free Voucher and the Play Ticket can be used from the day of their issuance. There is no expiration date.

(5)

If a Member uses a room other than a single room or uses any option with the Free Voucher, the Member needs to pay the difference.

2.

A Member can receive a 5% discount on the room fee under the same conditions as those for grant of the points described in Article 12, Paragraph 4. A Member cannot use this benefit together with any other discount through a campaign or plan and/or with any Free Voucher.

3.

A Member can reserve the Hotel 12 months in advance of the general reservation period for non-Members.

4.

A Member can receive complimentary services at affiliated facilities in Japan and Korea other than the Hotels. More information can be found on the Official Website.

Article 16 (Governing Law and Jurisdiction)

1.

These Terms are governed by the laws of Japan. The parties hereto agree that the Tokyo District Court shall have exclusive jurisdiction as the court of first instance for any dispute relating to these Terms.

Article 17 (Termination of Toyoko Inn Club Card)

1.

When we terminate the Toyoko Inn Club Card, we will notify Members on the Official Website. The handling of unused points and other membership benefits at the time of termination will also be announced on the Official Website.

Article 18 (Use of Personal Information)

1.
